SGA Overload Requests
Under exceptional circumstances involving an urgent need for assistance in teaching or research that requires the involvement of a research doctoral student, colleges may request approval for domestic or eligible international PhD students supported by a Stipended Graduate Assistantship (SGA) to take on up to six hours of overload work per week during a single term. These additional hours may not excuse failure to make acceptable academic progress or perform satisfactorily in their SGA position. The terms and conditions of the SGA are not changed by the approval of overload work.
All of the following requirements must be met for a PhD student to be approved for overload work:
- The student must be either a domestic PhD student or an international PhD student whose visa allows them to work more than 20 hours/week while fully enrolled (note that J1 and F1 visas do not allow more than 20 hours/week – see the Office of Global Services website)
- The student must be appointed to an SGA during the term the overload work is taking place
- The overload work must not exceed six hours per week
- The overload work must not be directly related to the student’s current SGA appointment or to their own research or scholarship
Note that overload approval is provided for one term only and requests for additional terms must be submitted separately.
To request PhD Network approval of SGA overload work, reach out to the following contact from the student’s home college for assistance:
- Bouve College of Health Sciences: [email protected]
- College of Arts, Media and Design: [email protected]
- College of Engineering: [email protected]
- College of Science: [email protected]
- College of Social Sciences and Humanities: [email protected]
- Khoury College of Computer Sciences: [email protected]
- Office of the Provost: [email protected]
Approval from the student’s home college should be documented using the SGA Overload College Approval Form and submitted as part of the SGA overload request. Please await final approval before creating a position or allowing students to log hours.
Once students are approved for SGA overload work, they can be hired for an hourly position through the normal Student Employment processes. Find more information, including pre-hire paperwork requirements for students on the Office of Student Employment’s Part-Time Employment webpage.
